The Netherlands Institute for Neuroscience (NIN) values your privacy. This privacy statement tells you what personal data the NIN collects, how it is processed and for what purpose.
PRIVACY STATEMENT
The NIN is aware of its responsibility when processing personal data. The NIN wants anyone whose personal data are processed by it to be able to trust that this will be done carefully and lawfully. The NIN processes personal data in accordance with the General Data Protection Regulation (AVG) and the resulting privacy rules.
WHAT PERSONAL DATA IS PROCESSED BY THE NIN?
The NIN processes personal data only when necessary for a specific purpose. The purpose determines which personal data are to be processed and for this purpose no more than necessary will be requested.
Depending on the purpose, the following personal data may be processed: name, address, place of residence, e-mail address, gender, date of birth, account number and curriculum vitae. If you participate in a scientific study, health data may also be processed.
For our newsletters, your name and e-mail address are requested at the time you wish to subscribe. We then use your e-mail address only for those services you have subscribed to.
PURPOSE
The NIN collects personal data so that the following activities can take place:
- to provide you with assistance and information on specific research issues;
- to perform its role as employer;
- to collect relevant data for the purpose of (specific) scientific research;
- to communicate with you by sending electronic newsletters, e-mails and/or post;
- to meet financial obligations;
- to answer your questions via social media, e-mail, by post or by telephone ;
- to improve our website.
ON WHAT BASIS DOES THE NIN PROCESS PERSONAL DATA?
The NIN processes your personal data only if there is a lawful basis. Depending on the purpose, personal data are processed because:
- you give your consent;
- it is necessary for the performance of an agreement concluded with you;
- it is necessary to comply with a legal obligation;
- it is necessary to protect your vital interests;
- it concerns a task of public interest;
- the NIN has a legitimate interest in doing so.
If the NIN processes personal data on the basis of consent given by you, you will always have the opportunity to withdraw your consent. The NIN will no longer process any of your personal data from then on.
SECURITY OF YOUR PERSONAL DATA
The NIN secures your personal data to prevent misuse and unauthorised access to your personal data. Security measures include firewalls, encryption, multi-factor authentication and access control.
RETENTION PERIOD OF YOUR PERSONAL DATA
Personal data will in principle not be kept for longer than necessary to fulfil the purpose for which the personal data is collected. Personal data in documents covered by the Archives Act 1995 are stored in the manner and for as long as prescribed by this Act.
Document retention periods established for the NIN can be found in the Selection List.
In cases involving archiving in the public interest, scientific or historical research or statistical purposes, personal data may be stored for a longer period. If this is the case, the NIN will take appropriate technical and organisational measures to protect your rights in accordance with the AVG.
DISCLOSURE TO THIRD PARTIES
The NIN only shares your personal data with third parties if there is a legal obligation or basis to do so as referred to in article 6 of the AVG.
When the NIN provides your data to a third party, it safeguards your privacy rights by entering into a processing agreement specifying how your personal data are to be handled.
The NIN processes your data as far as possible within the European Union. Certain activities may involve processing data outside the European Union. When this happens, appropriate measures are ensured so that applicable privacy legislation is complied with. For example, by concluding the necessary standard contractual clauses (so-called Standard Contractual Clauses) approved by the European Commission.
THIRD-PARTY WEBSITES
This statement does not apply to third-party websites linked to our website. The NIN advises you to read the privacy policy of these third-party websites carefully.
EXERCIZING YOUR PRIVACY RIGHTS
You may submit a request to the NIN to exercise the following rights:
- Right to access your personal data
- Right to have your personal data rectified and/or supplemented
- Right to have your personal data deleted
- Right to restrict the processing of your personal data
- Right to data portability
- Right of objection
- Right not to be subject to a decision based solely on automated processing, including profiling.
If your personal data are processed for archiving in the public interest, scientific or historical research or statistical purposes, the law places restrictions on, among others, your right to access, rectification, restriction of processing and right to object. Additionally, in the case of processing for archiving in the public interest, your right to portability of your personal data is also limited. In addition, for the Brain Institute, the obligation to notify data subjects within this context does not apply without further ado.

PERSONAL DATA AUTHORITY
The NIN will work with you to find a solution if you have a complaint about the processing of your personal data. If this does not lead to a desired result, under the AVG you have the right to file a complaint with the Personal Data Authority.
CHANGES TO THIS PRIVACY STATEMENT
The NIN may amend this privacy statement. Changes will be published on the NIN’s website. Any changes made to this privacy statement will never be in breach of the AVG and the privacy rules arising from it.
